Description:

Job Summary:

We are seeking a detail-oriented and proactive Purchasing Assistant to support our procurement operations. This role will assist in sourcing products, maintaining inventory levels, processing purchase orders, and coordinating with vendors to ensure timely delivery of goods and services.



Key Responsibilities:

  • Assist with the sourcing and procurement of materials, supplies, and equipment.
  • Prepare and process purchase orders and requisitions in a timely manner.
  • Communicate with vendors to obtain quotes, track orders, and resolve delivery issues.
  • Maintain and update supplier and product records in the purchasing system.
  • Monitor inventory levels and notify management of shortages or discrepancies.
  • Support vendor evaluations and help maintain positive supplier relationships.
  • Reconcile invoices with purchase orders and resolve any billing discrepancies.
  • Collaborate with internal departments (e.g., accounting, warehouse, operations) to ensure purchasing needs are met.
  • Generate purchasing reports and assist in data analysis as needed.



Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree in business, supply chain, or related field preferred.
  • 1–2 years of experience in a purchasing, administrative, or supply chain support role is a plus.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with ERP or purchasing software is a plus.
  • Ability to multitask and prioritize in a fast-paced environment.



Work Environment:

  • Office setting; may involve occasional visits to warehouses or vendors.
  • Standard business hours with some flexibility depending on deadlines.
