The Glencoe Club's Membership team is looking for a full-time Membership Associate to join our Administrative team. Reporting to the Membership Manager, this position supports membership administration across both The Glencoe Club and The Glencoe Golf & Country Club. The Membership Associate interacts extensively with current and prospective members, playing a key role in membership prospecting, onboarding, communication, and data management. This role also assists with basic accounts receivable (AR) support and collaborates closely with the Membership Engagement and Membership Specialist roles to ensure an exceptional member experience.

Responsibilities:

  • Provide excellent and professional service to all members and prospective members.
  • Coordinate and conduct membership tours, explaining Club privileges and offerings by membership category.
  • Process membership changes including Prospective and Legacy applications, category transitions, resignations, and adding/removing of
  • Interpret and apply Club Rules and Regulations in response to member inquiries.
  • Maintain accurate and timely data entry in the Club's Northstar membership database and security system.
  • Respond to membership inquiries by phone, email, and in-person.
  • Assist with accounts receivable tasks, including responding to statement inquiries, tracking overdue accounts, sending expiry notices, and assisting with basic payment processing.
  • Maintain locker waitlist and oversee locker assignment/cleaning coordination with support departments.
  • Prepare membership correspondence, including affiliated club access letters, delinquency notices, and onboarding communications.
  • Support membership events, marketing initiatives, and preparation of articles for Glencoe Life.
  • Cross-train and assist with other administrative functions within the Administrative office, including occasional reception coverage.

Qualifications:

  • Minimum 2 years of administrative experience in a customer-facing role; Club, hospitality or member-based organization experience an asset.
  • Demonstrated excellence in customer service and professional communication (written and verbal).
  • Advanced computer skills (Outlook, Word, Excel); experience with CRM systems (e.g., Northstar) preferred.
  • Exceptional organizational and multitasking skills, with the ability to work within tight timelines.
  • Collaborative team player with a strong sense of confidentiality, discretion, and professionalism.
  • Able to prioritize and problem-solve independently while working in a fast-paced environment.
  • Understanding of Club membership structure and policies, or ability to learn quickly.

Additional Details:

This is a Full Time salaried position that reports to the Membership Manager. The successful candidate will primarily work Monday to Friday 8:30am to 4:30pm but will be required to work other shifts including evenings, weekends and holidays, so a flexible schedule is required. Occasionally, this position may also work from The Glencoe Golf and Country Club.
